    Overview

    CalculatedPath ("we," "us," or "our") operates calculatedpath.com. This policy explains what data we collect, how we use it, and your rights regarding that data. The short version: we collect minimal data, we do not sell it, and we respect your privacy.

    This privacy policy should be read together with our Terms of Use, which explain the rules for using the site.

    Information We Collect

    Analytics

    We use Google Analytics and Vercel Analytics to understand how visitors use the site. This includes anonymized data such as page views, referral sources, browser type, and general geographic region. We do not track individual users across sessions or collect personally identifiable information through analytics.

    Calculator and Tool Usage

    Our UC GPA Calculator and CSU GPA Calculator process course selections, GPA calculations, exports, and share-link state in your browser. If you use the calculators while signed out, that calculator data is not transmitted to our servers or stored by us as part of normal calculator use. If you sign in, your active UC or CSU calculator state may also be stored in your account so it can autosave across visits. If you use the Course Planner or the Extracurricular Activity Tracker while signed out, that data also remains in your browser and is not stored by us unless you sign in.

    Product Analytics

    We record limited aggregate product analytics so we can understand which tools, schools, courses, exports, print/PDF actions, imports, and share links are being used. This may include school and course names selected from our public dataset and custom school or course names that you enter manually. We use this information to improve school and course coverage and to prioritize product work. These product analytics are stored as daily aggregate counters rather than a raw event history.

    Accounts and Authentication

    If you choose to create or use an account, we store the account data needed to authenticate you, such as your email address, provider identity, and any optional display name you save. We also use essential authentication cookies so you can stay signed in.

    Product Update Emails

    If you have an account, we may occasionally email you about new tools and significant product updates. Every such email includes an unsubscribe link that works without signing in, and you can also opt out anytime from Account settings. Opting out does not affect sign-in link emails. We record when you opt out so we can honor it.

    You can also request these emails without an account by entering your email address in the signup form on some of our pages. We use double opt-in: we only subscribe an address after you confirm through the link we email you, and unconfirmed requests are never sent product updates. For each signup we store the email address, a short tag for which page's signup form you used, and when it was requested and confirmed, so we can send the emails you asked for and honor your choices. We also keep a hashed version of the request IP address for abuse prevention and rate limiting. These emails include the same unsubscribe link. Unsubscribing stops the emails: we mark the address as unsubscribed and keep that record so we can honor your choice and not re-add you.

    Saved Tool Data

    If you are signed in and use the UC GPA Calculator or CSU GPA Calculator, we store your latest saved calculator state in our database so it can autosave and sync across visits. If you are signed in and use the Course Planner, we store your saved plans, plan names, and related planner state so the planner can autosave and so you can switch between saved plans across visits. If you are signed in and use the Extracurricular Activity Tracker, we store the activities you track — such as activity and organization names, roles, time commitment (for example hours per week or total hours), awards and honors, and any summaries or notes you add — so they autosave and sync across visits. Deleting a saved plan or activity removes it from your account. Deleting your account removes your saved calculator, planner, and extracurricular activity data from our servers.

    Feedback Submissions

    Our tools include a feedback button that lets you report issues or suggest improvements. When you submit feedback, we collect: the feedback type, your message, your email address (if you choose to provide it), the current page URL, and your browser's user agent string. We also keep a hashed version of the request IP address in our database for abuse prevention and rate limiting. For feedback sent from a coursework tool, we also keep a frozen copy of the coursework state shown at submission time so support can investigate the exact issue you reported. We connect it to an account or Student only when the signed-in session and Student ownership were verified at capture time. We do not guess a Student from the coursework. Feedback submissions are delivered to our feedback inbox through Formspree. We do not use this information for any purpose other than responding to your feedback and improving the site.

    Staff Support Access

    Authorized staff may use a read-only support console to view saved tool data or a frozen feedback snapshot when needed to investigate a support request, data problem, or security issue. Staff must enter a reason and ticket or investigation reference before target data is returned. We keep an immutable audit record of the staff account, support case, target identifiers, selected source and surface, reason category, and access time. The audit does not contain course names, activity text, feedback messages, or snapshot contents.

    Contact Information

    If you email us, we retain your message and email address to respond to your inquiry. We do not add you to any mailing list or share your email with third parties.

    Cookies

    We use essential cookies and localStorage for site functionality. This includes keeping you signed in, storing signed-out planner or calculator state in your browser, and supporting analytics. You can disable cookies in your browser settings at any time, though some site features may not work as expected.

    Third-Party Services

    We use the following third-party services, each of which has its own privacy policy:

    • Vercel (hosting and analytics)
    • Neon (managed Postgres database for accounts and saved tool data)
    • Google (OAuth sign-in and site analytics)
    • Resend (delivery of emailed sign-in links and product update emails)
    • Cloudflare (DNS, content delivery, and email routing)

    These services may process the data needed to provide their function, such as analytics events, authentication requests, sign-in emails, or database storage. Their handling of that data is governed by their own privacy policies.

    Data Retention

    Analytics data is retained in aggregate form. Product analytics counters, including aggregate school and course usage, are retained so we can understand long-term tool demand and coverage gaps. Account records and optional profile data are retained until you delete your account or request deletion. Saved calculator and planner data is retained until you delete your account, and planner plans may also be deleted individually. Contact emails are retained only as long as needed to respond and then deleted. Feedback submissions are retained in our issue tracker until the reported issue is resolved or kept as needed for product support history. Frozen coursework feedback snapshots expire after 730 days and are deleted 30 days after expiration or revocation. Staff support cases are deleted 30 days after they expire. The separate access audits are retained for 400 days for privacy, security, and accountability review, unless a longer hold is required for an active investigation.

    Children's Privacy

    Our site is intended for students, parents, and educators. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

    Your Rights

    You may request access to, correction of, or deletion of any personal data we hold about you. California residents have additional rights under the CCPA, including the right to know what data is collected and the right to opt out of data sales (we do not sell data).     Changes to This Policy

    We may update this policy from time to time. Changes will be posted on this page with an updated revision date. Continued use of the site after changes constitutes acceptance of the revised policy.
